Job Description

This role reports to the Talent Manager of the Corporate Audit Services group. Corporate Audit Services (CAS) is the company’s independent internal audit organization and third line of defense. CAS brings a systemic approach to evaluate and improve the effectiveness of risk management, control, and governance processes. Our comprehensive scope of responsibilities provides important insight and a broad perspective on all areas of the company, making us a valuable resource to executive management as they work to accomplish overall goals and strengthen internal control and governance.

CAS is the primary resource of the U.S. Bancorp Audit Committee in carrying out its duties. We provide them with timely and accurate information about the company’s many strategic, operational, financial and compliance risks as well as assurance that the risks are being well managed.

Primary Responsibilities:

  • Responsible for staff onboarding and offboarding tasks for the department including: arranging entitlements and access management, submitting space requests, coordinating preparation of space with local site, and requesting security badges. For the Minneapolis office, also holds responsibility for preparing physical desk space, verifying hardware set-up, and returning equipment

  • Provide support to managers across the department through onboarding and offboarding processes, as needed

  • Manage timesheet administration including creation of new timesheets for new employees and contractors, completing timesheet unlock requests, and timeslip roll forward and cleanup processes

  • Manage system access and enterprise roles for all employees in CAS in Archer eGRC and Access Management. Troubleshoot access issues discovered by auditors

  • Serve as department liaison with Corporate Real Estate and manage all real estate related tasks for all CAS locations (i.e., coordinating remodeling projects, preparing for future space needs, obtaining space for new hires, coordinating staff moves/cube reassignments, submitting updates through the SPACE system)

  • Oversee all computer hardware and equipment ordering for the department including: assisting managers with new hire equipment orders (if needed) and obtaining necessary levels of approval for purchase orders. Redirect troubleshooting requests to the proper US Bank channels

  • Create and distribute all surveys within the department.

  • Serve as department contact for selecting new printer lease agreements for the Minneapolis office. Maintain printer supplies and report machine issues for repair

  • Facilitate submission of CAS department maintenance requests to facilities and follow up to ensure that work is completed.

  • Monitor CAS Professional Practices Shared Mailbox and ensure messages reach the necessary parties for response

  • Monitor and order office supplies for all office and home-based locations

  • Distribute mail and manage UPS shipments for the department.

  • Directly supports up to three Directors with calendar management, travel arrangements, expense reports and any other administrative needs

  • Support training team with documentation, creation of training certificates, and tracking of completed training in Archer eGRC

  • Maintain all records in Archer Staff Management Application.

  • Perform other duties as requested by management

Basic Qualifications

  • High School Degree or equivalent diploma

  • Three to five years of experience in administrative and support staff activities

Preferred Skills/Experience

  • Ability to manage multiple tasks/projects and deadlines simultaneously

  • Advanced administrative skills

  • Attention to detail

  • Ability to lift and carry or otherwise move 25 pounds occasionally

  • Critical thinking skills and ability to identify and resolve exceptions and interpret data

  • Excellent verbal and written communication and grammatical skills

  • Proficient computer navigation skills using a variety of software packages, including Microsoft Office applications
