U.S. Bank Event Planner in Minneapolis, Minnesota

The Event Planner position is a primary coordinator for U.S. Bank recognition events and other large-scale meetings and conference implementation. This position is a highly visible role which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. The ideal candidate must thrive in a challenging and fast passed atmosphere where prioritizing and multi-tasking are the norm. Exceptional attention to detail and first class organizational skills are mandatory.

This dynamic position will report in through U.S. Bank event management marketing and work in a team environment with senior leadership and other event coordinators and managers throughout the company. This position will have direct contact with business partners and will work closely with other departments, including Human Resources, Finance, Brand and Procurement.

Event Planner

Responsibilities

  • Oversee and facilitate critical aspects of meeting planning coordination for large scale U.S. Bank event/conference/business unit events execution and event planning including:

  • Pre-event needs discovery

  • Vendor selection, coordination and negotiation

  • Budget development and management

  • Hotel, F&B, Air coordination

  • AV/production coordination

  • Attendee management

  • Registration list management and reporting

  • On-site support and post-event reporting

  • Coordinate event marketing communications - work with design and marketing leads to support meeting planners in the creation of event materials and communications used on-site or for email, web, and print distribution

  • Oversee participant management for Corporate Recognition Events

  • Collaborate with internal partners (business line contact/creative/design/communications)

  • Develop and manage project plans to ensure that deliverables and deadlines are met

  • Assist in development and implementation of EMM processes/policies and standard tools/templates for team consistency

  • Support EMM team on registration site creation and management

  • Manage critical internal risk systems including vendor management and compliance oversight for department

  • event registration,

  • Work on multiple events, large-scale conferences and leadership events for a variety of U.S. Bank leaders and partners simultaneously

  • Work with U.S. Bank group travel vendors to coordinate travel, lodging and expenses for participants attending company programs and events

  • Source and order event merchandise / gifts

  • Prepare and manage event budgets, track expenses for event budget reconciliation

  • Assist with contract management in coordination with other business line planners and procurement

  • Provide on-site support at events; including occasional travel to regional and national meetings

  • Other duties and special projects in conjunction with HR and Marketing

Location - Richfield, MN preferred. Open to anywhere in the United States (remote).

Qualifications:

Qualifications

  • Bachelor's Degree or equivalent experience

  • 5 years professional meeting experience

  • Meeting Planner certification current or in development (CMP)

  • Proficient at project management with ability to manage multiple projects at the same time under tight deadlines

  • Exceptional proficiency in Microsoft Word, PowerPoint, Excel and other database programs.

  • Some HTML knowledge and/or experience in creating web-sites helpful

  • Up to date on current trends in the meetings industry. Well rounded meeting planning industry knowledge and/or prior registration management experience a plus

  • Experienced at negotiating and building partnerships with vendors

  • Exceptional client service skills and enjoys working with the public

  • Strong time management skills and ability to manage concurrent tasks efficiently

  • Excellent written and verbal communication skills: Strong writing, proofreading and editing skills with a keen attention to detail

  • Ability to work and collaborate with employees are all levels, including senior management
