Corporate Real Estate (CRE) is Global at Elavon. We seek a Facilities Coordinator that can make an impact on Day 1 and grow with our business. This job has a dual purpose; first to perform routine facilities services/work, and second to create a first-class experience for our internal Elavon associates who utilize our space.

Job Description

  • Provide client focused services – anticipate the needs of associates to provide a first-class work experience. Follow up with customers upon completion of work/tasks.

  • Perform Move, Add, Change activities: Use the CAFM system to provide updates, create move spreadsheets, manage seats for on-boarding and off-boarding, and populate data to keep up to date content within the program.

  • Manage the vending machine program, water/ice machines, microwaves, electronic staplers/punch machines/thermal binders/sharpeners, and other appliances in the printer and break rooms. Call service for equipment in need of repair.

  • Inventory, order and stock coffee product and process related invoices.

  • Assist with early morning internal moves; deliver/pick up crates, move full crates, clean desks, deliver new hire kits, etc.

  • Perform conference room set-ups: move tables and chairs, place mobile white boards, place power strips, set up coffee, food warmers, etc. Break down same equipment and furniture.

  • Use the Outlook calendar system to book rooms, accommodate room change requests, run metrics on use of conference rooms.

  • Perform conference room tasks: clean white boards daily, coil cables, ensure meeting rooms are in a state of professional cleanliness and readiness. Monitor and take action on janitorial services; report any issues and ensure necessary corrections.

  • Report building related issues via a property management program or work order management system.

  • Use the current on-line ordering system to purchase various supplies for Facilities and other departments as requested. Keep up to date files, process invoices, and assist the Facilities team.

  • Develop knowledge of Life Safety as it applies to the Facilities industry and our Elavon Facilities team. Be a floor warden for the area and participate in training, all drills and debriefing.

  • Concierge work activities as required: meet/greet employees, visitors, others. Provide associate assistance as needed to create a positive experience that aligns with our internal processes.

  • Learn the landscape of our space, floor plans, people and departments, break rooms, storage, executive customers, and project polished customer service and execution of tasks for our internal services.

  • Mail room work activities: process incoming and outgoing packages, perform daily mail runs, for all printers install paper/toner/waste containers/staple cartridges, submit service calls for printers, monitor printers via company intranet and printer IP address.

  • Perform other duties as assigned.


Basic Qualifications

  • High school diploma or equivalent

  • Four to five years of experience in administrative and support staff activities

Preferred Skills/Experience

  • Strong aptitude to accomplish daily tasks, adapting quickly to the role and to the duties. Able to be self-directed and work autonomously.

  • Customer focus is at a high level each day for all internal Elavon customers, guests, vendors, and our business partners.

  • Excellent communication skills both written and verbal to cover interactions with all work staff.

  • Team player: establish connections with Facilities team and admin contacts to accomplish work. Demonstrate a balanced concern for getting the job done and satisfying the needs of individual clients.

  • Proficiency with computer programs, including Excel, Adobe, Word, PowerPoint, etc.

  • Able to lift 50 lbs.

  • Basic knowledge of various facilities disciplines including plumbing, HVAC, building automation systems, etc.
